Happy Pears is a wedding videography business based in Italy. We are responsible for the personal information collected through www.happypearswedding.com (the "website") and when you contact or book us. Under data protection law we are the "controller" of that information.

We never sell your personal information. This policy explains what we collect, why, who helps us process it, and the choices you have.

2. Information we collect

We collect two kinds of information: what you choose to send us, and what is collected automatically when you use the website.

Information you give us

  • Enquiries: your name, email address, phone number, wedding date, venue or location, and anything else you write in our contact form or emails.

  • Bookings: the details we need to prepare a quote, contract and invoice, such as names, billing address and payment records. Card payments are handled by our payment provider; we don't see or keep full card numbers.

  • Filming: if we film your wedding, the footage will show you and your guests. How we use that footage is set out in your contract with us.

Information collected automatically

  • Device and connection data: IP address, browser type, device type, operating system, language and approximate location (city or country level).

  • Website behaviour: pages viewed, time on page, clicks, scrolling, mouse movements, the page you came from, and whether you went on to contact us.

  • Cookie and similar identifiers: random IDs stored in your browser that let our analytics and advertising tools recognise a returning visitor. See section 5.

Our session analytics tool (Contentsquare) records how pages are used so we can replay and study visits. It is configured not to capture what you type into form fields [confirm this in your Contentsquare privacy settings]. We don't use it to identify you by name.

3. How we use your information

We use your information only for the purposes below. We never sell your personal information or rent it to anyone.

  1. To reply to your enquiry and send you information, quotes and availability you asked for.

  2. To provide our services if you book us: contracts, planning, filming, editing, delivering your film, and invoicing.

  3. To understand how the website is used, so we can see which pages help couples and fix what doesn't work.

  4. To measure and improve our advertising: to see whether visitors who saw our Google or Facebook/Instagram ads went on to contact us, and to show our ads to people likely to be interested.

  5. To keep the website secure and working, including detecting errors and preventing abuse.

  6. To meet legal obligations, such as keeping accounting and tax records.

We don't make decisions about you based solely on automated processing that have legal or similarly significant effects.

4. Our legal reasons for using your information

UK and EU data protection law (the GDPR) only lets us use personal information when we have a legal reason, called a "lawful basis".

6. Who we share information with

We never sell your personal information. We share it only with the organisations below, and only as much as they need.

Service providers working for us. These companies process information on our behalf and under contract, and may not use it for their own purposes:

  • Wix hosts the website, stores contact form submissions and runs our invoicing.

  • Google Workspace provides our email, where your enquiry and our replies are kept. [Confirm this is your email provider.]

  • Contentsquare provides session analytics.

  • Sentry provides error monitoring through Wix.

  • [Payment provider] processes card payments.

  • [Accountant or bookkeeper] keeps our financial records.

Advertising and analytics partners. Google (Analytics, Ads, Tag Manager and YouTube), Meta (Facebook and Instagram) and SiteWit receive information about your visit through the tools in section 5. Google and Meta may also use it for their own purposes, such as improving and targeting their advertising, under their own privacy policies.

Others, only when required. Courts, police, tax authorities or regulators where the law requires it, and professional advisers such as lawyers.

7. International transfers

Some of the providers in section 6 are based, or store data, outside the UK and the European Economic Area, mainly in Israel (Wix) and the USA (Google, Meta, Sentry, SiteWit and Vimeo). When information goes to these countries, it is protected by one of the following:

  • an "adequacy decision" by the European Commission or UK government that the country protects data to a similar standard (this covers Israel);

  • the EU-US Data Privacy Framework and its UK extension, where the US company is certified under it; or

  • standard contractual clauses approved by the European Commission, with the UK addendum, in the provider's terms.

You can ask us for more detail about the safeguard for a particular provider.

8. How long we keep information

We keep personal information only as long as we need it for the purposes in section 3, then delete it or make it anonymous.

Each cookie's lifetime is set by its provider; most of the cookies in section 5 expire within 2 years. Information held by Google and Meta for their own purposes is kept under their own policies.

9. Your rights and choices

You have the following rights over your personal information. To use any of them, email info@happypears.co.uk. It's free, and we'll reply within one month.

  • Access: ask for a copy of the information we hold about you.

  • Correction: ask us to fix information that is wrong or incomplete.

  • Deletion: ask us to delete your information, unless we must keep it by law.

  • Restriction: ask us to pause using your information while a concern is sorted out.

  • Portability: ask for information you gave us in a format you can take elsewhere.

  • Objection: object to use based on our legitimate interests, and to direct marketing at any time.

  • Withdraw consent: where we rely on your consent, withdraw it at any time.

How to stop analytics and advertising tracking

  • Block or delete cookies in your browser settings, or use a private window. The website still works without analytics and advertising cookies.

  • Install the Google Analytics opt-out add-on.

  • Change how Google uses your data for ads in Google's ad settings.

  • Change how Meta uses your data for ads in Facebook ad preferences.

  • Email us and we'll explain anything else you need.

  • You can change your choices at any time through the Cookie settings link at the bottom of this page.

10. Children, changes and complaints

Children. Our website and services are for adults planning a wedding. We don't knowingly collect information from children under 16 through the website. Children may appear in wedding footage; that footage is covered by our contract with the couple.

Changes to this policy. We'll update this policy when our tools or practices change, and change the date at the top. If a change significantly affects clients, we'll tell them by email.
